Senior Executive Assistant / Family Office Administrator, Part-time, Atlanta, GA

Salary: $90.00 to $100.00 per hour BOE

New Position. A private family office is seeking a highly organized and discreet Assistant to the President to support both personal and business operations. This role blends financial coordination, administrative support, and day-to-day office management. The ideal candidate is detail-oriented, resourceful, and comfortable managing multiple priorities in a confidential environment.

Key Responsibilities:

  • Track and monitor cash flow, ensuring accurate oversight of income, expenses, and overall financial activity
  • Coordinate quarterly investment reports with outside advisors and maintain organized financial records
  • Oversee monthly accounting processes in partnership with the family’s accounting team
  • Manage insurance programs (property, liability, health, and life), including premium payments and policy reviews
  • Serve as the main point of contact with banking institutions, overseeing accounts, credit cards, and general account management
  • Handle personal bill pay, assist with payroll coordination for household staff, and support tax-related documentation and deadlines
  • Coordinate logistics for family meetings and travel, including flights, accommodations, ground transportation, and reservations
  • Maintain organization and day-to-day operations of the office, including vendor coordination, supplies, and general upkeep
  • Ensure proper maintenance of financial records, business filings, and compliance documentation
  • Assist with budgeting and expense tracking across multiple properties
  • Support special projects and ad hoc requests as needed

 Assistant to the President, Investment Entity

In addition to family office responsibilities, this role will support the administrative and reporting needs of a private investment entity.

Key Responsibilities:

  • Assist in preparing monthly and quarterly reports for investment portfolios
  • Maintain detailed tracking of investment distributions and financial activity
  • Coordinate meetings, travel, and communications with investment partners and stakeholders
  • Manage day-to-day administrative operations, including correspondence, bill pay, and recordkeeping
  • Ensure business filings, licenses, and registrations are current and properly maintained
  • Support tax reporting coordination with outside accountants

 Assistant to the President & Vice President – Investment Operations

This role also provides support for an additional investment entity focused on evaluating new opportunities and managing active investments.

Key Responsibilities:

  • Assist in preparing reports, analyses, and supporting materials related to current investments and new opportunities
  • Maintain and update internal tracking systems for active deals and prospective investments
  • Coordinate communication with partners and portfolio companies in a professional and timely manner
  • Support scheduling, travel arrangements, and general administrative needs
  • Maintain accurate financial and operational records, including compliance-related documentation

Ideal candidate brings 5 to10+ years of experience supporting a high-net-worth individual, family office, or investment firm, with a strong foundation in financial coordination, executive support, and operations. They are highly proficient in Excel and comfortable managing cash flow tracking, investment reporting, budgets, and multi-entity financial records, while liaising with banks, accountants, and wealth managers. Must be exceptionally organized, detail-oriented, and discreet, with the ability to manage calendars, travel, and office operations.
